Office & Operations Assistant - Job Description & Responsibilities:



Assist in the day to day office operations, such as: answering phones, sending/receiving packages, checking the mail, organizing the office and shop, ordering supplies, printing work orders, checking office messages, etc.


Process payroll weekly.


Follow up on accounts receivable.


Process accounts payable after receiving approval from operations manager.


Balance the office checkbook using our computer program, Navision 5.0.


Assist managers with sales and operations duties by creating proposals in Navision and making the work order when the proposal has been approved by the customer.


Assist operations manager with ordering supplies and scheduling jobs.
Process and mail invoices on a monthly basis.


Schedule meetings with customers on a weekly basis.


Schedule internal meetings with employees on a monthly basis.
May be required to attend meetings and social functions with co-workers and customers once or twice a month.
Perform a quality check on jobs that were performed during the previous week by following up with the customer (via email, phone, in person, etc.).
Prepare reports and other materials in response to inquiries from managers or customers.
Learn the details of the work we do by frequently communicating with the field workers and occaisionally visiting job sites with a manager.
May perform other duties as assigned.

Purpose of Job:   Perform all aspects of requesting and receiving documentation for mortgage loans in both delinquent and claims statuses with the Loan Qualification, Servicing Evaluation, Fraud and Calculation Departments of Domestic Loss Management.

*Manage documentation related fields and loan statuses in the following systems: AS/400, Access and MI Guide.

*Forward loan reviews exceeding the allotted documentation request period to the appropriate department for final rescission determination.

*Prepare and forward documentation received for complete files to Digital Operations Center for imaging. Maintain records for off-site storage of and manage retrieval and return of original loan file documents.
 
*Cross-train in and provide back-up for Claim Document Specialist.
